Accounts receivable
Track what customers owe, how long balances have been outstanding, and take action to collect.
Accounts receivable gives you visibility into what customers owe, how long balances have been outstanding, and the tools to collect. It ties together invoicing and collecting into a single view of your open balances.
AR dashboard
The main accounts receivable page shows all customers with outstanding balances. Each customer row displays the total amount owed broken down by aging buckets, giving you a quick picture of where collections stand across your entire customer base.
Aging buckets
Outstanding invoices are grouped into aging buckets based on how many days have passed since the invoice date:
| Bucket | Days outstanding |
|---|---|
| Current | 0 – 30 days |
| Over 30 | 31 – 60 days |
| Over 60 | 61 – 90 days |
| Over 90 | 91 – 120 days |
| Over 120 | 121+ days |
Aging is calculated from the invoice date, not the due date.
Customer-specific AR
Drill into a single customer to see their individual unpaid invoices with an aging breakdown. The customer view also shows open credits (unallocated transaction amounts) and totals, giving you a complete picture of that customer's receivable position.
Effective date
The AR dashboard supports an effective date picker that lets you view aging as of a specific historical date. This is useful for month-end reporting or investigating what balances looked like at a particular point in time.
Emailing statements
Send a Statement of Account email to customers containing an Excel attachment with all unpaid invoices and their aging breakdown. You can specify multiple recipient email addresses when sending a statement, making it easy to notify both the customer's AP team and your internal contacts.
Exporting data
Accounts receivable data can be exported in two formats:
- Aging report (Excel): a summary by customer showing balances in each aging bucket
- Invoice data (CSV): raw invoice-level data for further analysis or import into other systems
Credit hold
When a customer's balance becomes a concern, you can place them on credit hold to prevent further orders or shipments until the situation is resolved. There are two hold types:
- Hold All: blocks both order issuance and shipment
- Hold Shipment: blocks shipment only, allowing orders to still be entered
Credit hold is set manually on the customer record and takes effect immediately on all in-progress orders.
